HOW WE USE YOUR DATA

Membership

When you become a member of or renew your membership with Harborough AC you will automatically be registered as a member of England Athletics. We will provide England Athletics with your personal data which they will use to enable access to an online portal for you (called myAthletics). England Athletics will contact you to invite you to sign into and update your MyAthletics portal (which, amongst other things, allows you to set and amend your privacy settings). If you have any questions about the continuing privacy of your personal data when it is shared with England Athletics, please contact dataprotection@englandathletics.org.ff

In becoming a member of EA, EA will collect certain information about you which will include your name, date of birth, gender, URN number, email address, address, telephone number, names of the EA affiliated clubs that you are a member of and details of any coaching or officiating licenses you hold (Athletics Data).

A Valid Email Address is Required

So that EA can confirm with the athlete that their data is correct and, so that the athlete can set their privacy settings, EA will need to have a valid email address for each member. By default, all athletes will be opted out of communications with EA until they have accessed their MyAthletics account and chosen to opt in.

In addition to supplying information to England Athletics the Club will use your data for the following purposes.

Training and Competition Entry

Share data with club coaches or officials to administer training sessions Share data with club team managers to enter events
Share data with facility providers to manage access to the track or check delivery standards
Share data with leagues, county associations (and county schools’ associations) and other competition providers for entry in events.

Membership and Club Management

Processing of membership forms and payments
Share data with committee members to provide information about club activities, membership renewals or invitation to social events
Publishing of race and competition results Website management
Sending Club Newsletter
Sending information about club kit, social events and fundraising.

Funding and Reporting Purposes

Anonymised data shared with a funding partner as condition of grant funding e.g. Local Authority Anonymised data analysed to monitor club trends

Third Parties

To be able to provide our services to you and administer the club we share data with 3rd parties from the following categories;

3rd parties which provide membership and governing body registration services to us

3rd parties which provide a mass mailing service

Data Retention

If you have not renewed your membership for 4 years we will delete your record from our system

Data Use

We will only use your data for the reasons stated above, if we need to use it for another reason we will ask your permission.

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

As a data subject you are not obliged to share your personal data with the Club. If you choose not to share your personal data with us we may not be able to register or administer your membership.

Right to be forgotten

In certain circumstances you can request us to delete all information we hold which identifies you. You can make this request at any time by emailing the membership secretary but please note we may be compelled to maintain your information due to specific legislative or regulatory requirements.
